Are you highly organised, detail-oriented, and passionate about delivering excellent service? We're looking for a Client Support Administrator to join our busy administration team, providing essential support to both internal and external areas of the business.
Where will I be working?
Working at our offices in Northwich, CW9 7LN
What are the working hours?
20 hours per week which are flexibly worked across Monday, Thursday and Friday
What you'll be doing:
- Processing Refunds: Accurately handle service charge and overpayment refunds, ensuring compliance with internal controls and deadlines.
- Investigating Payments: Locate and reconcile missing payments, working closely with finance teams and external stakeholders to resolve discrepancies.
- Managing Requests: Respond to Major Works/Section 20 requests from property managers, ensuring all documentation is complete and responses are timely.
- Venue Booking: Coordinate and book venues for AGMs, EGMs, and resident meetings, ensuring all logistical needs are met.
- Mass Communication: Prepare and send mail merges to occupiers and owners, ensuring accuracy and compliance with communication standards.
- Keys & Fobs Management: Issue, receive, and track keys across the North region, maintaining up-to-date records for security and accountability.
- Customer Service: Deliver clear, timely communication to customers, taking ownership of interactions and going the extra mile to resolve issues.
- Over 60's Call System: Manage and monitor our over 60's call system, ensuring all emergency contact details are current for Appello's call system.
What we're looking for:
Essential:
- Strong administrator with experience in an office-based administration function
- Demonstrate experience in handing customer queries in multi-channel function.
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (especially Excel and Word for mail merges.
- Effective time management and organisational skills
